Mailsafe installation pre-requisites:

Exchange Server 2003, 2007, 2010, 2013 with .NET3.5

Outlook 2007, 2010, 2013, 2016, 2019 with .NET2 (physical, virtual, thin client)

PST Discovery and Importer – 64bit PC, Windows 7 or later (virtual or physical)

Microsoft SQL Server Standard or Enterprise edition with FreeText Engine enabled (virtual or physical).

Infrastructure overview:

Below is an overview of the Mailsafe infrastructure. Detailed specifications can be provided once current Exchange and PST storage levels are known and we would recommend a brief technical call with one of our NHS Technical Experts to establish the required infrastructure.

The Mailsafe configuration is a simple infrastructure consisting of an Outlook Plugin for client side archiving for NHSmail and providing access to the Mailsafe archive to search and find emails.

The Exchange server will have the Mailsafe Enterprise Archival Services (20MB) installed to archive the current mailboxes and utilises Exchange Web Services.

The archive infrastructure consists of a SQL Server database with Tier 1 storage/higher performance disks along with a separate storage server based on Tier 2/Lower performing disks.

The above can be in either a physical or virtual environment.

It is recommended that the PST Discovery and Importer tools are installed on multiple 64bit client PCs to speed up the discovery and ingestion of PST files into the archive SQL Server and File Server.


Microsoft SQL Server:

When an email is archived either from the Exchange server, Mailsafe Outlook toolbar, or via the PST tools, the searchable content is extracted and stored within the SQL tables which have pointers to the physical email archive (Mailsafestore).

Filestore Server (MailsafeStore):

The Mailsafestore is the physical archive location of the emails and requires lower performance disks. It is a single instance record, where each email is compressed by an average of 50% and with AES256bit encryption for security. The Mailsafestore is a flat file archive and is subdivided into folders making for easy backup routines.

Tier 2 or Tier 3 Windows Server 2012 recommended

Overall compression of emails averages at 50%, with the SQL disk allocation being around 15% of the size of the Mailsafestore (physical email archive). For example, 10TB of email data in Exchange and PST files will compress to 5TB in the Mailsafestore on the lower performance disks, with 750GB storage required on the high performance SQL disks.

PST Discovery and Ingestion:

The PST Discovery and Importer tools can be installed on any 64bit PC or Server and can be installed on more than one machine to speed up discovery and ingestion. Machines can be physical or virtual.

Windows 7, 8GB RAM, 250GB hard drive.

Please note that once PST ingestion is complete then these machines can be decommissioned.

Mailsafe Web App:

The Mailsafe WebApp for mobile access to the email archive. We would recommend:

Integrates with Outlook 2007/2010/2013 on 32bit or 64bit Office environments with .NET4

Exchange Server 2003/2007/2010/2013 with Service Pack 2

Virtual PC’s:

Virtual PC with 8GB RAM, 300GB hard drive with 4 CPU’s.

Multiple virtual PC’s can be used to speed up the process.

PST Discovery and Importer:

Installation on a 64bit server or PC running .NET4

Install Process:

Prior to installation, the relevant Mailsafe prerequisites will need to be in place enabling a quick and complete installation.

The installation of Mailsafe will be performed by one of Mailsafe’s expert and qualified Technical Team who have considerable knowledge of the Mailsafe products and the environments in which they may be located.

It is a remote installation usually performed using a Team Viewer session and is normally completed within two hours.

Support & Aftercare:

After an installation has been completed a customer will receive full aftercare of the product led by the Post Installation Manager. This will include any training, distribution of guides and materials (including videos) and also a series of ‘health checks’ to make sure Mailsafe is performing as required.

If any problems or queries arise the Mailsafe support team is available between the hours of 9am-5.30pm Monday to Friday via the dedicated ticketing system , email and by phone.

Mailsafe will provide the customer with a set of guides and other useful documentation to help with the transfer of knowledge and to also help project manage with simple timelines (text and graphical) included. These are to be used as a starting point and as to how the Mailsafe project could be planned and scheduled.
